Whitetail Wise Inc ("Whitetail Wise Inc," "we," "us," or "our") operates the Whitetail Wise Inc trail-camera and property-stewardship platform at app.whitetailwise.com and related applications (the "Service"). This Privacy Policy explains what personal information we collect, why we collect it, how we use and protect it, and the choices you have. It is written to meet our obligations under Canada's Personal Information Protection and Electronic Documents Act ("PIPEDA") and applicable Ontario law.
By creating an account or using the Service, you agree to the collection, use, and disclosure of your personal information as described here.
Whitetail Wise Inc is responsible for the personal information under its control. We have designated a Privacy Officer who is accountable for our compliance with this policy and with PIPEDA.

When we transfer personal information to a third party for processing (see Section 7), we remain accountable for that information and use contractual and other means to provide a comparable level of protection.
We collect only the information we need to provide and improve the Service.
Account and profile information. Name, email address, and (if you provide it) phone number; your password is stored only as a one-way hash. We record sign-in timestamps and trusted-device records when you use two-factor authentication.
Payment information. Subscriptions are processed by Stripe. We do not store your full card number. We retain limited billing records (plan, status, transaction identifiers, billing province for tax) needed to manage your subscription and meet tax and bookkeeping obligations.
Property and location data. The geographic coordinates and boundaries of the hunting properties you map, along with the locations of cameras, stands, food plots, and other features you place.
Trail-camera images and detection data. Photos you upload from your trail cameras, their capture timestamps and camera metadata, and the wildlife-detection results we generate from them (species, antler-point counts, age class, and similar attributes). Images from trail cameras may incidentally capture identifiable individuals (for example, people who enter a monitored property). See Section 9.
Communications. Support tickets, messages, and your notification and contact preferences.
Technical and usage data. IP address, browser/device information, and session activity, used for security and to operate the Service.
We identify the purposes for collection at or before the time we collect your information. We use personal information to:
We will not use your information for a new purpose without identifying that purpose and, where required, obtaining your consent.
We obtain your consent to collect, use, and disclose your personal information, except where the law permits or requires us to act without it. You provide express consent when you accept this policy at sign-up and when you enable optional features such as SMS alerts.
You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting our Privacy Officer. Withdrawing consent for core processing may mean we can no longer provide the Service.
We collect only the personal information necessary for the purposes identified above, by fair and lawful means.
We use and disclose your personal information only for the purposes for which it was collected, except with your consent or as required or permitted by law.
Retention. We keep account information for as long as your account is active. Trail-camera images and detection data are retained according to the photo-retention window of your plan (currently 90 days, 18 months, or 60 months). After you cancel, we retain your data for a limited wind-down period to allow reactivation and then purge it, except records we must keep for legal, tax, or audit reasons. You may request earlier deletion (see Section 10).
We use trusted third-party processors to operate the Service. They are bound by contract to use your information only to provide services to us and to protect it. Some of these providers, including our AI image-analysis processor, may store or process information outside Canada (including in the United States), where it may be subject to the laws of those jurisdictions.
We do not sell your personal information, and we do not allow advertisers to target you within the Service.
We keep personal information as accurate, complete, and up to date as necessary for the purposes for which it is used. You can review and update your account information at any time in your profile, or contact us for help.
Trail cameras you deploy may capture images of people. You are responsible for ensuring your collection and use of such images complies with applicable law, including any recording, surveillance, and trespass laws. Where the Service helps you compile evidence of trespass, you remain responsible for lawful use of that material. If you believe an image of you has been collected through the Service, contact our Privacy Officer.

To make a request, contact our Privacy Officer. We will respond within the time required by PIPEDA (generally 30 days) and will verify your identity before acting. There is normally no charge; we will tell you in advance if a minimal cost applies.
We protect personal information with safeguards appropriate to its sensitivity, including encryption in transit, hashed passwords, optional two-factor authentication with device-trust controls, access controls, and Canadian-region hosting for primary storage. No system is perfectly secure, but we work to protect your information against loss, theft, and unauthorized access, use, or disclosure.
Breach notification. If a breach of security safeguards creates a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada as required by PIPEDA, and keep records of breaches as required by law.
The Service is intended for adults. It is not directed to anyone under the age of 18, and we do not knowingly collect personal information from minors. If you believe a minor has provided us information, contact our Privacy Officer and we will delete it.
We use strictly necessary cookies to keep you signed in and to secure the Service (including a session cookie and an optional "remember me" cookie). We do not use third-party advertising or cross-site tracking cookies.
This policy is available within the Service. We may update it from time to time. When we make a material change, we will update the effective date and, where appropriate, notify you and ask you to re-accept. Continued use after an update means you accept the revised policy.
If you have a question or concern about how we handle your personal information, contact our Privacy Officer first. We will investigate all complaints. If we find a complaint justified, we will take appropriate steps, including correcting our practices or information.
If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada (priv.gc.ca) or, for matters within its jurisdiction, the Information and Privacy Commissioner of Ontario (ipc.on.ca).
